Terms and Conditions for Participation in Greek Roots’ Roots Revival 2025 Program

These Terms and Conditions (the “Terms”) govern your participation in the Greek Roots Greece Experience 2025 (the “Program”). By registering for the Program, you acknowledge that you have read, understood, and agree to these Terms. 

1. General Eligibility

1.1. The Program is open to individuals aged 16 – 29 at the time of participation. 

1.2. To be eligible, participants must submit an application before the deadline, and be accepted into the Program.

2. Participant Obligations

2.1. Travel Arrangements: Participants are solely responsible for paying for all travel to and from Greece, including flights, accommodations, ground transportation, and incidental costs, except for amounts offset by Greek Roots’ fundraising efforts. Any fundraising shortfalls will be announced by the end of May 2025, allowing participants to make an informed decision about their participation.

2.2. Medical and Travel Insurance: Participants must obtain comprehensive medical and travel insurance covering emergencies, trip cancellation, and repatriation. Proof of insurance must be submitted prior to the Program.

2.3. Passport and Visas: Participants must ensure their passport is valid for at least one month beyond the Program’s end date and secure any necessary visas or travel permits.

2.4. Personal Expenses: Participants are responsible for any personal expenses not expressly covered by the Program.

3. Health and Safety

3.1. Participants must disclose any pre-existing medical conditions, allergies, or physical limitations that could affect their participation.

3.2. Participants assume all risks associated with the Program, including but not limited to volunteer activities, physical exertion, and travel within Greece.

3.3. Greek Roots reserves the right to refuse or terminate participation if it becomes evident that a participant’s health or behavior jeopardizes their safety or that of others.

4. Program Fees and Refund Policy

4.1. Payment Terms: All program fees must be paid in full by the specified deadline. Failure to pay may result in forfeiture of your place in the Program.

4.2. Cancellation by Participant:

  • Youth participants who have fundraised for their participation will not lose any of the funds they have raised if they choose to cancel.
  • Any expenses paid on behalf of a participant, such as airfare, accommodations, or other non-refundable costs, will be subject to cancellation fees. These costs will be deducted from the refund amount, where applicable.
  • Cancellation requests must be submitted in writing.
  • Refunds, if any, will be processed as follows:
    • 100% refund for cancellations more than 60 days before the Program start date.
    • 50% refund for cancellations between 30 and 60 days before the Program start date.
    • No refund for cancellations less than 30 days before the Program start date.

4.3. Cancellation by Greek Roots: Greek Roots reserves the right to cancel the Program due to unforeseen circumstances (e.g., insufficient enrollment, natural disasters, political instability, pandemics). In such cases, Greek Roots will refund Program fees but will not be responsible for reimbursing travel or other out-of-pocket expenses.

5. Limitation of Liability

5.1. Greek Roots, its directors, board members, staff, volunteers, and affiliates are not liable for any personal injury, illness, property damage, or financial loss incurred during or as a result of the Program, except in cases of gross negligence or willful misconduct.

5.2. Participants waive any claim against Greek Roots for losses arising from third-party service providers (e.g., airlines, hotels, or local transportation).

5.3. The participant assumes all risks associated with participating in the Program and acknowledges that Greek Roots is providing services in good faith.

6. Force Majeure

6.1. Greek Roots shall not be held responsible for delays, modifications, or cancellations resulting from events beyond its control, including but not limited to natural disasters, war, terrorism, pandemics, or government restrictions.

7. Code of Conduct

7.1. Participants are expected to conduct themselves respectfully and responsibly. This includes adhering to local laws, respecting cultural customs, and following the instructions of Greek Roots staff.

7.2. Greek Roots reserves the right to dismiss any participant for unsafe, disruptive, or disrespectful behavior. Dismissal will result in the forfeiture of any Program fees paid, and the participant must cover any costs incurred as a result of their dismissal.

8. Dispute Resolution

8.1. These Terms are governed by the laws of the Province of Ontario, and disputes shall be resolved in Ontario courts.

8.2. Quebec participants retain the right to file claims in accordance with Quebec’s Consumer Protection Act and applicable laws.

9. Bilingual Presentation for Quebec Participants

9.1. For Quebec participants, these Terms are provided in both English and French in accordance with the Charter of the French Language.

9.2. In the event of discrepancies between the English and French versions, the participant’s primary language version shall prevail.

10. Acknowledgment and Acceptance

By registering for the Program, participants (or their legal guardians if under 18) acknowledge that they have read, understood, and accepted these Terms. Participants also affirm that they meet all eligibility requirements and will comply with the obligations outlined herein.
